Connecting Member Services with Organizational Control
OPAC, the Organization for the Poor Advancement Committee, is a registered non-governmental organization based in Feni, Bangladesh. Its work combines microcredit and microfinance services with recurring savings, fixed deposits and the administration of a workforce serving members through branches and somities or centers.
These activities share the same member relationships, but they follow different financial and operational cycles. A loan requires inspection and verification before funds are released. Savings accumulate through repeated deposits and eventually become a settlement obligation. A fixed deposit must remain connected to its agreed term and maturity. Each activity also needs local responsibility and organizational oversight.
MindSynth Technologies implemented a solution covering this complete operating scope. Member admissions, loan applications, configurable verification, inspections, savings, FDR management, multi-branch operations, analytics and HR automation were brought into a structured digital environment.
The implementation reflects how OPAC works: service delivery begins close to the member, while review and control extend through branch and area management to head office.
The Business Challenge
OPAC needed to manage several connected responsibilities consistently across its organization:
· Admit members and associate them with the relevant branch and somity or center.
· Process loan applications through the required levels of inspection and verification.
· Preserve standard reports and review findings throughout the decision process.

The challenge was the relationship between these activities. Management needed to understand both the status of an individual member’s service and the broader position of the branch or organizational unit responsible for it.
Member Admissions as the Starting Point
MindSynth implemented member admission management as the entry point to OPAC’s financial-service lifecycle. Admission establishes the member record that subsequent loan, savings and fixed-deposit activities relate to.
The branch and somity or center structure gives that relationship an operational context. A member belongs within a service network, allowing staff to understand where the relationship is managed and how it contributes to local activity.
This foundation matters as the relationship develops. A member may save regularly while also progressing through a loan application or maintaining a fixed deposit. Connecting these activities to the member helps preserve continuity between admission and later financial services.
Configurable Loan Applications and Verification
Loan processing was implemented around OPAC’s multi-level verification structure. The workflow supports configurable verification levels, reflecting the organization’s review responsibilities rather than treating every application as a single approval action.
The implemented sequence includes four levels:
· Field Officer: the first verification stage, including inspection and the standard report required for that level.
· Branch Manager: branch-level verification, inspection and reporting before the application proceeds.
· Area Manager: area-level verification, with the associated inspection and standard reporting requirements.
· Head Office: the final verification level, including its inspection and reporting requirements before the final decision.
Each level contributes its own review to the application. This creates a structured basis for evaluating the request as it moves from field operations toward head office.
Configurability is important because verification responsibilities are part of institutional policy. Representing the levels in the system allows the workflow to reflect the required review structure while keeping the application, inspection work and decision process connected.
Inspections and Standard Reports at Every Level
The loan workflow includes inspection and standard reporting at each verification level. This gives the next reviewer more than an application status: it provides the documented assessment associated with the preceding stage.
Standard reports support consistency in how findings are presented. Field officers, branch managers, area managers and head-office reviewers can contribute through a defined reporting structure appropriate to their respective responsibilities.
For operational management, this makes it easier to distinguish an application awaiting review from one that has already completed the required inspection and reporting work. For the decision maker, the application carries a clearer basis for evaluation.
The value is practical accountability. The verification sequence connects responsibility with the inspection and reporting work needed to support a lending decision.
From Loan Decision to Repayment Management
OPAC’s automation extends beyond the application stage into the continuing microcredit and microfinance operation. The lending lifecycle connects application processing and verification with disbursement, repayment activity and follow-up.
Maintaining that continuity helps staff relate current collections and outstanding positions to the loan that created them. The original lending decision remains part of an ongoing account relationship rather than becoming disconnected once funds are released.
For branch operations, repayment information supports day-to-day follow-up. For management, it contributes to the wider review of lending activity and the positions requiring attention across the organization.
Daily Weekly and Monthly Savings
MindSynth also implemented OPAC’s savings operations across products with daily, weekly and monthly deposit arrangements. These frequencies represent different collection cycles, each of which must remain connected to the member, the savings product and its period of operation.
The solution supports management of recurring deposits throughout the savings lifecycle. Staff can administer the member’s contributions as continuing activity within the relevant arrangement, preserving the relationship between individual deposits and the accumulated savings position.
This is particularly important in a branch and somity environment. Repeated collections need to remain understandable at the member level while contributing to the operational picture reviewed by branch and organizational management.
By including the different deposit frequencies within the implemented scope, OPAC can manage its range of savings arrangements through a common operational foundation.
Savings Maturity and Dividend or Profit Settlement
Savings management continues through the end of the agreed period. MindSynth implemented the process for returning the accumulated money together with the promised dividend or profit under the applicable savings arrangement.
This connects two parts of the service that must agree: what the member deposited over time and what the organization must settle at the end of the period. The settlement process needs the savings record, the product terms and the corresponding dividend or profit entitlement to remain connected.
The implemented lifecycle therefore covers recurring deposit management as well as end-of-period return and settlement. It supports a complete view of the savings relationship from contributions through the member’s final entitlement.
For management, maturity obligations also matter alongside loan collections and ongoing deposits. Including them within the operating environment supports a more complete understanding of the organization’s financial-service responsibilities.
Client FDR Management
Client fixed-deposit receipt management forms a separate part of the solution. FDRs differ from recurring savings: the operational focus is a fixed deposit maintained under agreed terms for a defined period.
MindSynth implemented FDR management so these records can be administered within OPAC’s broader member-service operation. The deposit relationship, agreed terms, maturity position and settlement requirements form the basis of that administration.
Keeping FDRs within the solution helps preserve the distinction between a recurring contribution plan and a fixed-term deposit while supporting oversight of both. Staff can manage the appropriate lifecycle for each service, and management can consider fixed-deposit obligations alongside the organization’s other activities.
Managing Branches and Somities or Centers
OPAC’s implementation supports multiple branches and somities or centers. These structures organize how services reach members and how local activity is reviewed by the wider organization.
At the somity or center level, the structure groups member relationships within a local service context. At branch level, it brings those activities into the unit responsible for operational administration. Area management and head office provide the higher levels of oversight reflected in the loan-verification process.
This organizational model gives operational records a meaningful location and responsibility. A member admission, loan application or savings relationship can be understood within the service structure that manages it.
For MindSynth, representing that hierarchy was an essential part of adapting the solution to OPAC. Multi-branch capability needed to support both local work and the management relationships connecting branches with the rest of the organization.
MRA Standards within Operational Processes
The implementation incorporated Microcredit Regulatory Authority standards relevant to the agreed scope. MRA-related requirements were addressed as part of OPAC’s process and reporting implementation, alongside its internal verification and management practices.
This places standards within the work users perform and the information they prepare. Structured processes, inspection documentation and reporting provide the operational basis for maintaining consistent records and supporting review.
The contribution is an environment that supports OPAC’s MRA-related operational and reporting responsibilities. The institution’s own review, authorization and submission responsibilities remain part of how those outputs are used.
Intelligent Analytics and Management Reporting
MindSynth implemented intelligent analytics and reporting to help OPAC use its operational information for management decisions. The reporting layer brings attention to the activity behind the records: member services, loan processing, collections, savings, fixed deposits and the organization’s distributed service structure.
The combination of these domains gives management a broader basis for review. Lending activity needs to be understood alongside repayment progress; recurring deposits need to be considered alongside future savings and FDR settlements; local activity needs to be interpreted within the branch and somity network.
Analytics and reports support that review by organizing information into a form management can examine and act on. They help connect operational detail with follow-up priorities and organizational oversight.
The emphasis is decision support grounded in the implemented processes. The same workflows that staff use to manage services contribute to the information available for management review.
HR Automation alongside Microfinance Services
The project also included HR automation. This extended the implementation to the employee administration supporting OPAC’s field, branch and organizational work.
Financial services depend on staff carrying out admissions, inspections, reviews, collections and administration. Including HR within the project acknowledges those workforce responsibilities as part of the NGO’s wider operating needs.
